Why you need a CRM: measuring the B2B funnel

What a CRM is and why a B2B company needs one: see where leads are lost, track sales stages, build reports and connect sales with marketing.

A CRM (Customer Relationship Management) is a system that keeps the history of work with every lead and customer in one place. In B2B it shows at which stage of the sales funnel you are losing money.

Without a CRM, sales live in the manager's memory, in Telegram chats and in a notebook. If the manager leaves, the customer base leaves with them.

In short:

  • A CRM is the history of a lead from the day of the request to the contract.
  • It shows the conversion of every stage.
  • Marketing and sales look at the same number.
  • Even a small company needs it.

What does a CRM show?

The main thing is the funnel. How many leads came, how many became MQLs, how many came to a meeting, how many got a commercial proposal (KP) and how many paid.

In the Parking24 case, in the very first month the CRM showed deals with commercial proposals worth ~$1M. Without a CRM this number would have been invisible, and the plan for the following months would not have been built.

What stages should there be?

Simple stages for B2B:

  1. New lead.
  2. Called.
  3. MQL.
  4. Meeting scheduled.
  5. Meeting held (SQL).
  6. Commercial proposal (KP) sent.
  7. Contract / Lost (with a reason).

Make the reason mandatory at the "Lost" stage: price, timing, competitor, no response. In a month this list will give you a strategy.

How does a CRM connect to marketing?

Record the source on every lead: which channel, which campaign, which creative. Then you can answer not only "which ad gives cheap leads" but "which ad gives sales".

We distribute the performance budget based on exactly this data: we share daily or weekly reports with the client's sales team and see which funnels' leads are turning into sales.

Where do most people go wrong?

The first mistake is buying a CRM and not filling it in. Managers keep working the old way.

The right way is to make the CRM the single source of truth. A deal that is not in the CRM does not exist. Reports come only from the CRM.

The second mistake is a setup that is too complex. 20 stages and 50 mandatory fields make managers run away. Start small.

Which CRM should you choose?

There is no single "best" CRM. For a small B2B company a simple CRM is enough, and for larger processes a CRM module inside an ERP is convenient. For example, in Odoo the CRM, warehouse and finance work in one system.

Ask three questions when choosing: does it integrate with telephony, can it record ad sources, can you build the report yourself?

Conclusion

In short, a CRM is the memory of sales.

  1. Make 6–7 simple stages.
  2. Record the source on every lead.
  3. Make the reason mandatory for a lost deal.
  4. Take reports only from the CRM.

Frequently asked questions

What is a CRM?

A CRM (Customer Relationship Management) is a system that keeps the history of work with leads and customers, sales stages and reports in one place.

Does a small company need a CRM?

Yes. Even in a team of two or three managers, a CRM shows at which stage leads are lost and does not tie the customer base to one person.

What is the difference between a CRM and an ERP?

A CRM works with customers and sales; an ERP covers the whole business: warehouse, finance, production. Many ERPs have a CRM module.

How does a CRM help marketing?

If the source of every lead is recorded, you see which ad brings sales and move the budget to it.
